The Gentry School Privacy Policy

The Gentry School (“we,” “us,” “our”) respects your privacy and the privacy of the families we serve. This policy explains what information we collect through thegentryschool.com, how we use it, and the choices available to parents and guardians.
Information We Collect
When a parent or caregiver submits a form on our website — including Virtual Open House registration, our 2026–2027 Interest List, course enrollment inquiries, school partnership inquiries, or general contact — we may collect: parent or caregiver name, email address, phone number, student name and grade, course(s) of interest, city and state, school or homeschool status, any questions or messages shared with us, and whether the family has opted in to receive program updates.
Enrollment and Student Information
Once a family enrolls, we collect the additional information reasonably necessary to provide instruction and maintain academic records — such as attendance, assignment and assessment records, progress reports, and course-completion status. We do not collect medical records, disability information, or other sensitive student data through our website forms.
Payment Information
Tuition and other payments are processed through Stripe, a third-party payment processor. Complete payment-card information is entered directly with Stripe. The Gentry School does not store complete payment-card information.
Third-Party Services
We use trusted third-party services to operate our website, programs, and communications, including:
Squarespace — website hosting and forms
Calendly — scheduling and event registration
Google Workspace — email and document communication
Zoom — live virtual instruction
Stripe — payment processing
These providers may process information on our behalf, consistent with their own privacy policies.
Cookies and Analytics
Our website is hosted on Squarespace. Squarespace and other connected service providers may use cookies or similar technologies to support site functionality, security, performance, and basic analytics.
How We Use Your Information
We use the information collected to respond to inquiries and registrations; send confirmation and reminder messages for events such as the Virtual Open House; communicate about enrollment, courses, and academic records; provide instruction and maintain required school records; share program updates when a family has opted in; and improve our programs and communication.
When Information May Be Shared
We may share information: with service providers necessary to operate our website, courses, and payment processing; with parent or guardian authorization, such as when sending a transcript to a receiving school; when legally required; or when reasonably necessary to protect student safety or organizational security. We do not sell personal information.
Children’s Information
Website registration and inquiry forms are intended to be completed by a parent or legal guardian. Children under 13 should not submit personal information directly through the website. After enrollment, students may participate in live Zoom classes and course activities with parent or guardian authorization. We collect only the student information reasonably necessary to provide instruction, maintain academic records, communicate with families, and support student safety.
Live-Class Recordings
Live classes are not routinely recorded. If a particular session will be recorded, families will receive advance notice, and any required parent or guardian consent will be obtained before recording.
Data Security
We take reasonable steps to protect the information shared with us, but no method of transmission or storage is 100% secure.
Information Retention
Inquiry and event-registration information is retained only as long as reasonably necessary for communication and program administration, generally no longer than 24 months unless the family remains enrolled or requests continued communication. Enrollment, attendance, grade, and course-completion records may be retained longer in accordance with school recordkeeping requirements and applicable law.
Parent and Guardian Access, Correction, and Deletion Requests
Parents and guardians may ask what personal information The Gentry School has on file, request corrections, request deletion where permitted, or opt out of nonessential communications by emailing thegentryschool@gmail.com. Certain enrollment, attendance, financial, safety, and academic records may be retained when required for legal, contractual, or school-recordkeeping purposes.
Marketing Communications and Opt-Out
Opting in to receive program updates is separate and optional — it is not required to submit an inquiry, register for an event, or enroll. Families may opt out of marketing communications at any time by emailing thegentryschool@gmail.com, without affecting enrollment or program-related communication.
Changes to This Policy
We may update this policy from time to time. The “Effective Date” above will reflect the most recent revision.
